RULES FOR SUBMITTING MATERIAL

Please follow the following guidlines when submitting content to FOTA for your portfolio or announcement.

TEXT SUBMISSION:

All Text and text change requests must be submitted electronically. It can be emailed to Richard Lange or James Parenti as plain email text or it can be emailed in a Word Document. DO NOT send hand-written materials or printed materials for us to copy - they will be disregarded Also, Publisher files are not acceptable. If you are unable to email it, you can submit the material on a CD-ROM to Friends of the ARTS, 1800 W. Cornelia Avenue, Chicago, IL 60657

All other storage devices – floppy disks, zip disks, etc. – cannot be accepted. We don’t have the appropriate drives to open them.

DO NOT provide links to external websites that have to have content taken from them and placed in your statement. You must provide all text via email directly to FOTA. We will not visit other websites for text information that you ask us to retrieve.


IMAGE SUBMISSIONS:

You may submit as many images as you'd like. All pictures of artwork must be submitted as a JPEG file.  Unless you can meet the guidelines listed below for web-ready files, submit images to FOTA on a CD-ROM. If images do meet the requirements listed below, you can email them.

NAMING FILES: When naming the image files, do not include spaces, punctuation or capital letters in the title, so for example:

'Bill’s Garage.JPEG'

should be....

billsgarage.jpg

Again, DO NOT use punctuation or stylization of any kind except for the one period used to delineate the file type. The file names listed in this page are italicized for instructional emphasis only. DO NOT ITALICIZE.

WEB-READY: Making the image "web-ready" means that the file's resolution should be set to 72 pixels per inch.  Also, no side of the image should exceed 600 pixels in length. If you don't understand this, please contact James Parenti for help. If you can set images to these settings, you may email them in. (Note: Adobe Photoshop and Photodeluxe contain a "Save For Web Feature" that automates most of this process, but the image must still be preset to the above dimension and resolution requirements).

Scans and requested image-editing may incur additional fees depending on the source material and volume of images.


GRAPHICS SUBMISSIONS:

Graphics are items such as banners or headlines. They can either be submitted as gif files or jpeg files (Note: jpeg files are used for any image that contains photographic content).

All headlines and banners must be set to a web-ready resolution of 72 pixels per inch. The dimensions must be 600 pixels wide by 80 pixels tall - no larger.



OTHER SUBMISSION NOTES/LAYOUT NOTES:

When submitting portfolio changes, DO NOT send in a printed copy of the page you'd like edited with notes written on it. Send in your change requests via email or in a Word Document. Hand-written notes and instructions will be disregarded.

DO NOT make maps or schematics of how you want your items arranged in your portfolio section. The portfolios follow one template and all content submitted comports to it. Also, do not supply pre-made html files or site folders to be placed in the site without first consulting with James Parenti. If you want a different layout for your portfolio section, setup services will incur additional fees.


MOST IMPORTANTLY - DO NOT submit the only copy of your materials (slides, images on CD, etc.) that you possess. Make sure you have a backup. If you'd like your materials back, you MUST provide a self-addressed envelope with proper postage. We WILL NOT return material without this. Any material submissions that go unclaimed will be discarded!
